Project management: what is it all about
admin June 2nd, 2008
Any project coordinator works with four elements: expenditure, schedule, time and quality. A more ambitious goal is to optimize business processes and resource allocation. Most projects utilize such components as labour, funds, and tools to achieve something of value and meet objectives. There are a number of things that are crucial for successful project management. You can look through a number of these factors below:
- Task setting and assessing achievement.
- Managing uncertainty. Most feature a this or that level of uncertainty.
- Choosing people and equipment for the project.
- Understanding the product you wish to have when the project is finished.
- Managing what is going on: giving out jobs, controlling the work-in-progress.
- Ensuring that the outcomes of the tasks are of satisfactory quality.
- Dealing with change. Change is constant. When you start out on the project, you have to anticipate how it will evolve with time.
- Communicating with project stakeholders.
Regular ways of supervising projects, such a pencil and a notepad, can be used to do most of these things. However, you get some interesting advantages if you go for project tracking software:
- It makes scheduling easy. A program will process timing adjustments. Every resource can have their own time-table. Managing progress also becomes not that much of an issue.
- Managing several projects with various requirements. Executives can employ project tracking software to simplify analysis of several big projects.
- It helps you find the critical path. The critical path of a project consists of jobs that directly influence the real length of the project. Should an activity on this path take less or more time, the rest of the project will be touched by this change. At the same time for tasks that are outside the critical path minor modifications in duration can have no effect whatsoever on other activities.
- Distributing data among the team members. The more complicated are the project needs, the more of them have to be talked about. Groupware productivity tracking software enables everybody to know what is up at any given point in time.
Is it always a must to employ task tracking software?
Project tracking solutions might not be suitable in 100 percent of all cases. It delivers the greatest value when used for several big projects. Small projects can be managed using MS Excel which allows you to save on overhead costs of employing such complex software.
